ASAP is hiring on behalf of our client for an Administrative Assistant to support Environmental Health & Safety (EHS) Training and Regulatory Compliance activities. This position will provide administrative and coordination support to ensure training programs, documentation, and compliance processes are effectively maintained.
Work Location Requirements:
Candidates are required to be local to the Tri-State area. Hybrid schedules may be permitted with a minimum of two days onsite, depending on the assignment. The role may also be fully onsite based on business needs.
Project Overview:
The Administrative Assistant will support the EHS Training and Regulatory Compliance team with daily administrative functions, vendor coordination, documentation, and training scheduling. The role will help ensure that training requirements and regulatory compliance processes are organized, documented, and maintained across the organization.
Key Responsibilities:
- Interface with vendors to request quotes and obtain scopes of services and training materials.
- Assist with coordinating and maintaining the annual training schedule for both internal employees and external trainers.
- Develop and document processes related to EHS training coordination and regulatory compliance tracking.
- Organize and support management of the EHS Training and Regulatory Compliance SharePoint site.
- Maintain logs of instructor evaluations and training records.
- Assist with tracking regulatory compliance activities and documentation.
- Provide general administrative support to the EHS Training and Regulatory Compliance team.
- Perform additional administrative tasks as identified during normal business operations.
Required Skills:
- Experience with process development and documentation, including familiarity with Visio or similar tools.
- Strong written and verbal communication skills.
- Proficiency with Microsoft 365, including SharePoint.
- Experience using enterprise systems such as Workday or similar platforms.
- Strong organizational and multitasking abilities.
Preferred Qualifications:
- Experience coordinating training programs or training schedules.
- Background supporting Environmental Health & Safety (EHS) programs or regulatory compliance activities.
- Experience managing training documentation, instructor evaluations, and compliance tracking.
Education & Experience:
- Associate’s or Bachelor’s degree preferred.
- 3–5 years of administrative experience, preferably supporting training coordination, compliance programs, or operational teams.
